Catering for Large-Scale Events: Gourmet Catering & Eventos’ Operational Capabilities in Numbers

Over 3,000 guests, 450 professionals involved and a complex catering operation delivered alongside other events. A clear example of how careful planning, in-house resources and experience make it possible to manage large-scale events while maintaining the highest standards of quality, personalisation and precision throughout the service.

Gastronomic Excellence Is Built into Every Event

Delivering a catering service for more than 3,000 guests is a challenge that goes far beyond the kitchen. It requires substantial production capacity, meticulous logistical planning, team coordination and an operational structure capable of meeting multiple demands simultaneously.

At Gourmet Catering & Eventos, we recently undertook one such large-scale operation, mobilising a significant proportion of our people, technical capabilities and equipment to deliver a premium gastronomic experience for more than 3,000 guests.

The project highlights one of our key strengths: our ability to manage large-scale events using our own resources, while retaining the flexibility to adapt to the specific requirements of each occasion.

And there was another important factor: while this operation was taking place, our teams continued delivering other events across different venues, each with its own production, service and logistical requirements.

More Than 450 Professionals Working Towards One Experience

The scale of an event is not measured solely by the number of guests, but also by the ability to coordinate everyone involved in making it happen.

More than 450 professionals contributed to the different stages of planning, organisation and delivery. During the event itself, over 230 front-of-house and kitchen professionals worked simultaneously to serve guests.

They were supported by our event setup, logistics, operations, procurement and other internal teams, whose coordination was essential to maintaining a consistent, high-quality service.

At an event of this scale, every decision has an impact on the wider operation. Production schedules determine transport requirements; event setup influences service flows; and staff deployment must reflect both the gastronomic offering and the characteristics of the venue.

Anticipation, professional expertise and the knowledge gained throughout our history are essential to ensuring that this operational complexity translates into a seamless guest experience.

Large-Scale Gastronomic Production Without Compromising Our Identity

One of the greatest challenges in premium event catering is maintaining culinary quality as production volumes increase significantly.

For this event, we developed a menu featuring more than 20 gastronomic creations, based on seasonal, locally sourced ingredients and tailored to the format and requirements of the occasion.

Among the highlights were more than 60 large paellas prepared simultaneously, reflecting the importance we place on our Mediterranean culinary heritage, even when catering for thousands of guests.

The paellas were prepared at our central kitchens and transported using dedicated arrangements to ensure they could be served freshly made.

Our approach is supported by our own 1,600 m² production centre, which enables us to organise workflows, coordinate food preparation and respond to projects of varying sizes and complexity.

For us, operating on a large scale does not mean standardising the experience. It means having the resources and expertise to preserve our gastronomic identity while adapting it to each event.

Our Own Infrastructure, Supporting Every Aspect of the Experience

The guest experience also depends on everything that surrounds the food.

For this operation, we deployed more than 380 tablecloths and 30,000 pieces of tableware and glassware, distributed across more than 15 service stations.

Every element had to meet the event’s functional, quality and aesthetic requirements.

The use of reusable tableware and other materials also allowed us to integrate sustainability considerations into service planning, in line with our commitment to responsible resource management.

Beverage supply presented another significant logistical challenge: more than 4,000 litres of drinks were supplied and distributed across the different service points, with dedicated planning to ensure availability throughout the event.

48 Hours of Logistics Behind an Operation That Never Stands Still

Logistics is one of the least visible aspects of an event, yet it is also one of the most decisive factors in its success.

On this occasion, our own warehouse maintained 48 hours of uninterrupted logistical activity, with teams working in shifts and taking their scheduled breaks.

Event setup required more than 30 hours of work, involving close coordination of equipment, materials and operational requirements.

All of this took place while the company continued delivering services at other venues and preparing upcoming events.

This ability to manage simultaneous operations is particularly valuable for event agencies, businesses and institutions seeking catering partners with the independence, flexibility and operational capabilities to deliver complex projects reliably.

Client Peace of Mind Is Part of What We Deliver

At Gourmet Catering & Eventos, we have been dedicated to gastronomy for more than 75 years. Throughout our history, we have developed an organisation that brings together culinary creativity, specialist professionals, our own infrastructure and extensive event experience.

Every year, we deliver catering services at more than 2,500 events for over 360,000 guests, ranging from corporate gatherings and conferences to private celebrations and institutional occasions.

This experience has shaped the way we work. Planning, adaptability and resource coordination are just as important to us as the food itself.

For our clients, this means working with an experienced catering partner that has the people, resources and expertise to take responsibility for the gastronomic side of their event, whatever its scale or complexity.
